AI phone assistant

AI phone assistant and your data

This page explains how the toqa AI phone assistant handles calls and information. It is for restaurants and takeaways that use the assistant, and for their customers who ring in. For our website, see the Privacy Policy.

Who is responsible

The restaurant or takeaway whose number you ring decides why and how your details are used for your order or booking, and is the controller of that information. Techno Touch Ltd provides the assistant and the till on the restaurant's behalf and handles the information only to run the service for them.

What is collected during a call

  • Your phone number and the time and length of the call
  • What is said on the call, as a recording and a written transcript
  • Your name, the items you order, your address for a delivery, and a mobile number if a payment link or text is sent
  • Any food allergy you tell the assistant about, which is written on the order for the restaurant's kitchen
  • Table booking details: name, number, date, time and number of guests

What it is used for

  • Taking and fulfilling your order or booking
  • Sending you the texts about that order or booking, such as a payment link or a confirmation
  • Passing a complaint or a question the assistant cannot answer to the restaurant's staff
  • Checking that the service worked, and fixing problems
  • Marketing texts only if you clearly agree; every marketing text has a way to opt out

Calls are recorded and the assistant is automated

The assistant tells every caller that it is an automated assistant and that calls may be recorded. It does not tell you that a dish is safe for an allergy: it writes your allergy on the order so the restaurant's team can handle it, and you should also tell the staff when you collect or are served.

Who else handles the information

To run the service we use trusted providers for the phone line, the voice and language processing, text messages and card payments. They process the information only on our instructions to provide those services. Some of them are based outside the UK, in which case appropriate safeguards are used.

Your rights and how to contact us

You can ask the restaurant, or us, for a copy of your information or ask for it to be corrected or deleted, and you can complain to the Information Commissioner's Office (ico.org.uk). Contact us at info@technotouch.co.uk and tell us the restaurant you rang and the number you rang from.
